A practical workflow for turning public-adjuster calls, referrals, and website inquiries into organized next steps and signed-retainer opportunities without losing context.

This guide covers organizational workflow only. Requirements vary by jurisdiction and matter. It is not legal, insurance, coverage, public-adjusting, financial, or compliance advice.

Capture the first contact before the details disappear

A new opportunity may arrive through a referral, a phone call, a web form, canvassing, or a storm-related campaign. Capture the caller's name and preferred contact method, property address, reported loss details, source, and the reason for the call while the information is still available.

Do not turn an early conversation into a conclusion about coverage, value, cause of loss, or whether the firm will accept the work. Mark unknown information clearly and keep the record factual so the next person has a reliable starting point.

  • Lead source recorded
  • Contact and property details captured
  • Reported loss details noted factually
  • Unknown information marked
  • No unsupported claim conclusion

Give every lead one clear next step

A lead-management system is useful only when it turns information into accountable work. Before an inquiry leaves the intake queue, give it a specific next action such as a return call, property review, inspection scheduling, document request, retainer conversation, or a decision not to proceed.

Assign one owner and a deliberate due date. A shared queue should make aging leads, unanswered calls, duplicate records, and pending retainer follow-up visible without relying on one person's inbox or memory.

  • Specific next action
  • One accountable owner
  • Due date visible
  • Duplicate check completed
  • Aging leads reviewed

Move qualified work forward without rebuilding the record

When the firm decides to proceed, carry the reviewed intake context into the active claim workflow rather than retyping it into a disconnected file. Keep source notes, early communications, retainer status, and open requests attached to the same operating record.

This approach gives the office, field team, and owner a shared view from first call through active claim work. Software supports organization and follow-through; each firm remains responsible for its own process, decisions, and professional obligations.

  • Reviewed intake carried forward
  • Retainer status connected
  • Early communication retained
  • Open work remains assigned
  • Firm process remains in control
